Creating & Implementing Price Lists

Price lists can be used to discount items in the system. The highest price charged for inventory should always be the price indicated on the product card. For any other sale prices that are not promotions, price lists are appropriate.

This feature is not available on free plans. Prices for price lists can be imported to ERPLY in versions 2013 or later.

Multiple price lists can be created in ERPLY and implemented by:

Creating a new Price List:

To create a new Price List, navigate to Price Lists, located in the PIM module.

Once open, click New to create a new price list:

Fill in all necessary fields. You can add a start/end date to the Price List. For the price list to exist indefinitely, leave the end date blank.

To activate the price list, check the “Active” box below the price list’s name.

After saving, new tabs will appear below.

Price lists can be created on a Product or Product Group basis. Choose the appropriate tab to begin creating the price list:

Definitions of each tab:

Discounts to Product Groups: This allows you to give a percentage discount to entire product groups, NOT specific items. For more specific price list creation use Products with special prices.

Products with Special Prices: This tab allows for more flexibility with your price lists, as discounts can be created on a product-specific basis as well as by adding entire product groups.

By adding by product, you can define pricing by product line (dollar amount or % discounted).

To add products, click Add Items in the bottom bar.

If this bar is not shown, click the yellow button on the bottom left hand corner of the screen.

This will open a menu labeled “Add items to price list.” Here, you can add items individually or by group, category, brand, or supplier. Once added, click Save and close the window. Now you can edit by “new price” or “Discount %.”

Once all items are entered with their new pricing, click Save.

Your price list is now complete.

The next step is to associate this price list. This can be done in one of four ways:

1) Specific Location

2) Specific Customer Group (valued customers, etc.)

3) Specific Customer

4) Specific time periods (weekend sale, Black Friday price list, etc.)

Associating a Price List to a Specific Location

Navigate to Locations, located in the RETAIL CHAIN Module.

Select the location you would like to associate the Price List. On the right hand side you have Store Price Lists. Here you can add up to five price lists. From the Price List 1 drop down, choose the appropriate price list to be associated with the location and click Save. Repeat in the additional fields if further price lists are being implemented.

Note: If an item is on multiple assigned price lists, the lowest price will be the one which applies at the register.

The price list is now set to be utilized.

Associating a Price list to a Customer Group

Navigate to Set up Customer Groups, located under the SETTINGS module.

Here you can create new Customer Groups and edit existing ones.

Once created, you can associate a price list by right clicking the Customer Group and selecting Edit.

This will open the Customer Group Card. Select the price list from the dropdown menu.

Customers associated with this Customer group will have this price list applied.

Associate a Price list to a Specific Customer

Search for the customer for whom you’d like to add a price list. To do this, in the CUSTOMERS module, click Find Customer and then hit enter to search.

Click on the Customer's name to open Customer Card, scroll down to Price Lists in the gray column on the left hand side. Select the appropriate price list from the dropdown menu and then click Save.

The customer will now have this price list associated with their purchases.

Associated Price List with Specific Time Period

All price lists may use active/end times, no matter how they are applied. If a price list is applied to a customer group, customer, or location, but it is outside of the time specified, it will not apply.

For this type of Price list, you must specify an end date on the price list card.

You can later associate this price list with a Location, Customer, or Customer group.

If the store has a specific price list in place, put this ‘time period’ price list below the stores price list that is already in place.

POS will always choose the price list that gives lowest price of a product.

Example:

Price list 1: Tennis Shoes = $100

Price list 2: Tennis Shoes = $80

In this example, the POS will override Price list 1 and choose Price list 2, which has the lowest price for the product.
