X Report & Z Report

This section outlines how to create X and Z reports on Erply.

X and Z reports show a summary of transactions. The X report, generated from the POS, shows the day’s activity for the register on which it is generated. The Z report is a more expansive X report. It can show activity across multiple days and/or multiple registers, depending on selection criteria.

To generate an X report, simply click the X report icon in the POS screen.

A report will generate on screen, looking like this:

The report can be sent to the printer by clicking the “Print” button at the top. Note that in this example, some fields have current information about the day’s transactions while other fields remain blank. These blank fields are populated when the register has gone through the close of day process. An X report will generate by default when the day is closed for a given register.

Tips & Troubleshooting

Reporting: In the X report, tips are removed from the cash expected in the drawer (tips are presumed to be given to the employee, not the drawer). When viewing a sale with a tip in the Back Office, the Receipt will show the total for the sale, with tips being a negative payment on the total, bringing the invoice total down to the original charge without the tip.

If the X report is showing information from multiple days, there is an unclosed day somewhere in that register’s history. To find it, click the “Settings” module, then click “All Settings” in the drop down menu. From here click “Day Openings and Closings” in the menu on the left, located under “POS”.

A table will appear of the recent days. Click on the column heading for ‘closed’. This will sort the unclosed days to the top. The unclosed day can then be closed in the Back Office or deleted.

Z REPORT OVERVIEW The Z report can be used to print multiple days of transaction history at once, or reprint an x report from a specific day. To generate a Z report from the Back Office, click the “Reports” module at the top of the screen, then choose “Z report” from the submenu. Is it the right person here to reach out, if it’s after the office hours someone should just hit them out.

The next screen offers you selection criteria for the report. These fields can be used to filter the report to only show information from a specific register, location, sales associate, date range, or currency.

Note that leaving a field blank will disregard that criteria when generating the report. For example, when generating the report as the settings are listed above, the report will show all transactions from all registers in all locations between 6/1 and 6/30.

Clicking “Z Report” at the bottom of the screen, under the “POS” header, will open the report in a new window.

CONFIGURATION SETTINGS This article will enumerate all possible changes that can be made to the content and formatting of X and Z Reports in ERPLY.

Under Settings/Configuration, in the POS column, is the option highlighted above: “Do not show cash drawer openings (cash-in transactions with a sum of 0) in the Z Report.” Putting a check in this box will omit “No Sales,” or drawer openings with a zero sum, from the X and Z Reports. Note that in regards to Time Zones, the time shown on the X-Report will be the time set on the individual register. The time shown on the Z Report will be in the time zone set on the ERPLY account. If you have registers or locations set up in other time zones from the main ERPLY account, the time zones on your X and Z reports will differ.

POS Under the gear icon, select “Configuration.” There are two options which can be selected to alter X-Report settings.

“Get short X report” – Checking this box will omit the Invoices List from the X-Report.

“Get X-Report only for last shift” - Checking this box will only automatically an X-Report on the last shift of the day.
